ADS Meeting Minutes

April 20, 2023

1. Call To order at 7:00pm.  Jennifer Landers, Sandra Thompson, Catherine Lambert, Ann Tursky, Rene Pope, Carole Smith
2.  President Report

1. Clinics/Educational events – Time to plan clinics/educational events for 2023. Three activities: Saddle Fitting Educational Clinic, Zoom meeting with Kristi Wysocki about 2023 tests, and Riding clinic with Ashley Shaw. All completed. Other ideas in-process? Carole to continue to explore an educational event about pasture maintenance for August timeframe. Jennifer to explore a potential clinic with Jamie Lawrence for fall.,
   1. Update from TL Jumper – hosting ADS meetings with ADS members. Meeting completed on Feb 11 at Chatfield Equestrian. Would another meeting be beneficial later in the year? TBD
   1. Show dates for 2023 are set. Are venues and show managers set. Status of April 30 show? 17 entries to-date. Should we change the date of the June show due to conflict with Texas Rose show that many riders will attend? Carole to determine if the show could be moved to June 25, if not, will continue with the June 4 date.
   1. Discuss plans/needs for year-end banquet for spring of 2024. Consider having the year-end awards at the first show of the season? Should we poll members for preference, ideas? TBD
   1. The position of secretary is open.  Ideas for filling this position? TBD
   1. A board vote for the purchase of polo shirts with ADS logo was not completed in the text message string.  This topic requires discussion, motion and vote to proceed. Motion was made by Carole to purchase the shirts and ADS logo added. Motion seconded by Rene. Motion passed by board.
   1. Zettle card reader has been purchased and received. (board approved via text message string)
   1. Grant application award has been increased to 150. (board approved via text message string)

  • Meeting minutes: Motion made by Jennifer to approve the February minutes. Seconded by Carole. Motion passed by board.
  • Membership status – 48 members

• Treasurer Report
  • Financial Report – 12373.78 in general account, 1305.74 in Junior account.  520.00 to transfer from Junior to general account to subsidize the four junior riders that attended the Ashley Shaw clinic.
  • Tax forms for 2022 have been filed.
• Vice President Report
  • Insurance payment – complete

• Show Report

Show season 2023 planning in-process.

• Web Master Report Jennifer reported that the ADS website was down for a few days in April due to a server issue. During this issue, it was identified that ADS has not been paying the annual fee for the website on this server. The cause of non-payment was due to a failure of 360 Square (owner of the server) to bill ADS.  Carole made a motion to pay 360 Square the annual fee of 299.00 to keep the ADS website maintained on their server. Ann seconded the motion. Motion passed by the board.

• There was no board meeting in March 2023. Board members were elected during the year-end banquet on March 4, 2023.
