ADS Meeting Minutes

June 9, 2016

• Call to order; 6:35pm. Present: Eileen Krause, Jennifer Landers, Kat Cromer, Kerry Evans, Minza Spradlin, Sandra Thompson, Rene Pope
• President Report
  1. General membership issues and feedback – No new issues.
  2. ADS Member Committees for specific tasks – Committee for a Symposium has been established. Patty Hale, Jana Nelson, Marsha Tucker and Kerry Evans will complete the initial evaluation and report back to the board. Motion was made by Jennifer and second by Eileen. Motion passed.
  3. com continued use? Motion was made to discontinue the use of showsecretary.com with the following condition: no contract issues. Motion made by Minza and second by Kat. Motion passed.

• Secretary Report
  1. Meeting minutes – Motion to approve Jennifer 2^nd Kerry – motion passed
  2. Membership status – 91 members

• Treasurer Report
  1. Can an Operating Budget be constructed for 2016? See attached operating budget.
  2. Q2 2016 Financial Report – Presented; overall was $106 negative year to-date; Checking account balance is $14,811.00, Junior Riding acct balance is $673.00, and CD balance is $1004.79
  3. Inventory list from Board Members – TBD.
• Vice President Report –
  1. Insurance needed for the August mid-year meeting; date needs to be finalized asap.
  2. USDF Annual Meeting – Delegate proxy for ADS will be Sandra. Kerry made a motion, second by Jennifer.
• Show Manager Report
  653. June show update: well attended, and Rene presented the financial report of 653.00 as the preliminary profit. Still needs to be updated to include additional income and expenses for the final p/l.
  654. July show plans – Diamond TR July 17^th and the judge is Amanda Bailey

• Web Master Report

1. a) Region 9 NAJRC contribution- needed details for Rene to send check. Request was made for address but no response yet.

• Old Business
  1. Banquet 2016:
     • Date is January 21, 2017
     • Location is Benton Convention Center
     • Is rate locked in, and what is the rate?

• New business
  25. August mid-year meeting plans—Minza, Kerry and Kat presented plans for the meeting. August 13 was chosen as first choice for the date, with August 27 as second choice. Branch Out in Conway was chosen as the location. ADS to provide pizza and soft drinks. ADS board members agreed to provide deserts/salads. Cost per person is 25.00. Each participant can paint a picture at this location, in addition to enjoying a short business meeting. Post-meeting update: date was finalized as August 27 with Branch Out.
